Contacts and events

Moving your records

Bring your contacts and events.

You don't have to retype a church list. Export contacts or events from your current system, save them as CSV, and review them before importing into SuperChurch.

These downloads are blank templates. Add your own records before uploading; they contain no example people or events.

1. Prepare the file

Export one record type at a time. Save as UTF-8 CSV with a header row, no more than 250 records and a file size of 5 MB or less. Split larger lists into several files. File size is measured in UTF-8 bytes.

ContactsFull name, or first and last name; email; phone; address; city; state or province; postal code; notes. A name is required.
EventsTitle, description, location, start and end. Title and both dates are required. The end must be after the start.

Your export can use different column names. The preview lets you choose which column belongs to each SuperChurch field. Review unused columns: they will not be imported.

Only upload records you are authorized to manage. An imported contact is not a registered member, a role assignment, or permission to send marketing messages.

2. Check event dates

The least ambiguous option is an ISO date with a time-zone offset, such as 2026-11-14T10:00:00-05:00. Select ISO in the importer for that format.

For local dates, choose the matching format and the church's time zone:

  • MM/dd/yyyy HH:mm: 11/14/2026 10:00
  • dd/MM/yyyy HH:mm: 14/11/2026 10:00
  • yyyy-MM-dd HH:mm: 2026-11-14 10:00

Times use a 24-hour clock. Ambiguous daylight-saving times are rejected rather than guessed. Use an explicit ISO offset if needed.

3. Preview, then import

  1. Sign in to the pastor portal with approved management access.
  2. Select the church you intend to update, then open Profile and Import Data.
  3. Choose Contacts or Events, select the file, and review the preview. For events, confirm the date format and time zone.
  4. Check the field mapping, rows needing fixes and duplicate count. Correct the file or mapping, then preview again.
  5. Confirm the import only when the intended records are ready.

Imported contacts remain private and start marked do-not-contact. Imported events wait for approval; importing them does not publish them or notify the congregation. Review the intended audience before approving.

4. Review or undo

Find imported contacts in Guests & Contacts and imported events in Events. The portal's import history includes an Undo action for committed batches. Records changed after import are kept rather than deleted by the undo.

What this does not move

This importer does not accept spreadsheets in XLSX format, JSON or ZIP backups, households, child records, attendance history, donations, ledgers, attachments or licensed song libraries. It is a CSV migration, not a continuous connection to another provider.

Keep your original export and check the results before retiring the old system. Contact support if a supported file will not preview; don't post your congregation's data publicly.
